Context
Security Groups are used to manage user access within the platform by applying permission sets to specific registers.
This FAQ explains what access a Security Group gives a user and how those permissions are applied.
Important Notes
- You need to be a system administrator to access the Security group settings.
A Security Group does not define permissions on its own.
Permissions are granted through permission sets applied within the group.A permission set by itself does not grant access to any register unless it is marked as Global.
Security Groups can be assigned:
Directly to users
Via teams (if Team Management is enabled)
Via roles
Security Groups assigned via teams or roles may not be visible on the user profile but still apply to the user.
The Access Control Matrix is a read-only view that displays the permissions a user has across registers and modules.
What permissions does a Security Group provide?
A Security Group provides access by applying permission sets to registers.
When a user is added to a Security Group, they inherit the permissions defined by the permission sets assigned to that group for each register.
The actions a user can perform in the system depend on the permission sets applied within the Security Group. In other words, these permissions determine what actions the user can perform within each module, such as viewing data, editing records, creating new entries, or managing records more broadly.
These may include, for example:
Read-Only – View data within the register
Create – Add new records
Update – Edit existing records
Delete – Archive records
Mass actions – Perform bulk updates or deletes
Merge – Merge duplicate library records
Share – Share records with other users
A Security Group may apply different permission sets to different registers, allowing access to be tailored based on user role or responsibility.

How to check what permissions a Security Group provides?
Please follow the below steps.
Go to Admin > Security Groups.
Open the relevant Security Group.
Review the registers assigned to the group.
Check the permission sets applied to each register.
To view the resulting access for a user, open the Access Control Matrix from the user profile.
